Apprentices struggle at EPA because the evidence is incorrectly linked to KSBs. Independent assessors require clear, valid proof that specific KSBs are met. Often, apprentices misalign their work with KSBs or cannot verbally justify how their professional actions fulfill the necessary criteria during the assessment. Clear KSB mapping is essential.
2. Poor preparation for Questioning & Professional Discussions
Knowing the subject isn't necessarily enough. Apprentices need to explain, justify and reflect on their decisions under questioning.
3. Apprentices underestimate the importance of assessment technique
Technical competence and assessment performance are related but aren't identical. Listening to the question and responding appropriately and with relevance is a technique which is usually underestimated and therefore missed.

How to prepare for a Professional Discussion
1. Strategic Preparation
Effective preparation requires more than generic advice. Our research proves that apprentices succeed when they align their study with the specific modules and themes defined in the published assessment plan. By grouping complex assessment standards into manageable core subject modules, such as the seven modules used in Business Analysis, apprentices can take a bite-sized, structured approach to mastering the EPA.
2. Practice
Success requires consistent rehearsal. Beyond reviewing portfolios, apprentices must cover every KSB in the assessment plan. Since mapping every individual KSB can be overwhelming, group them into core themes to make rehearsal sessions more focused and manageable.
3. Perform
We recommend apprentices undertake mock EPAs under timed conditions using questions tailored to the official assessment plan. This authentic practice builds the stamina and confidence needed for the real event. If solo, recording and reviewing your own performance is a powerful way to self-identify gaps and refine delivery.

What Makes strong KSB evidence
1. Be Specific
An Apprentice must show exactly what they personally did rather than describing what the team or organisation achieved.

Weak: "We worked with stakeholders to improve the process."

Strong: "I identified conflicting stakeholder requirements, facilitated a workshop to establish priorities and used the agreed criteria to revise the process."
2. Demonstrate Application
Evidence should demonstrate how the apprentice applied their KSB rather than simply stating they have them or placing the KSB at the end of a sentence that when examined, isn't actually applicable.
3. Explain the Impact
Strong evidence connects the apprentice's actions to an outcome (preferably to the KSB) or measurable KSB.. What changed and what was learned? For effectiveness, use the STAR approach.
